Privacy policy

Draft under Decree 13/2023/NĐ-CP on personal data protection – to be reviewed and approved by the university’s legal department before publication.

What we collect and why

When you submit the “Get advice” or “Get notified” form, register for an event or book a campus visit, the portal stores your name and phone number (required); email, programme or major of interest and your question (optional); and the page language and page used. The purposes are admissions advice; support with job applications, employment and recruitment partnerships when you use a form in the Careers section; sending the updates you asked for; and anonymous statistics. We do not sell or share data with third parties.

Legal basis

Your consent, given by ticking the consent box (the time and version of the consent text are recorded).

Who can access it

Only the admissions adviser and authorised administrator accounts protected by two-factor authentication. Internal notification emails do not contain your name or phone number.

Retention

24 months from submission; after that, name, phone number, email and question are deleted automatically and only anonymous statistics are kept.

Your rights

You have the right to be informed, to access and correct your data, to withdraw consent and to request deletion. Send your request, with your request code if you have one, to the contact on the Contact page; we respond within the statutory time limit.

AI question assistant

The “Quick questions” box answers only from content published on this portal. Phone numbers and email addresses in questions are masked automatically; questions are not linked to a name or account. When AI mode is on, the masked question and the relevant content passages are sent to the AI model provider (Anthropic) to compose the answer. Questions are kept for 90 days to fill content gaps, then deleted automatically. Please do not enter personal information in the chat.

Usage statistics

The portal counts page views, button clicks and search terms as daily totals, without tracking cookies, without storing IP addresses and without identifying visitors. Your browser only stores the “tdts_lang” cookie to remember your language choice.

Technical data

The server may log access data (IP address, time, pages viewed, browser) for security, kept for a limited period according to the hosting configuration.

Links

The portal does not send you to other websites or advice channels; references are given by name only. The only Zalo channel on the portal is managed directly by the admissions adviser.
